General Office Assistant Position
Description: The office assistant interacts with the public and our clients and some of their
private health information. As such they should have excellent boundaries and
communication skills, be polite and courteous.
Hours: Contract labor 4/hrs week + time for calls on days not in office. $10-12/hr based on experience.
1 day per week, Mon., Tues, Thurs, or Fri. 9:45am-1:45pm
Client relations duties and tasks:

- Set up practitioner rooms in morning (lights/table.)
- Greet clients
- Handle phone messages and return phone calls
- Hand out new client intake sheets
- Go through message pad and handle what you can
- Inform practitioner that client is here.
- Schedule client appointments.
- Set out practitioner recommended herbs
- Invoice therapy and herbs for practitioners that request it
- Receive payments
- Help partners ready their tables and rooms for next client
Office General

- Create Agenda for every other Monday meetings
- Make sure the space is cleaned up: dishes and cups cleaned, water set
out front, trash taken out if necessary. - Stock therapy rooms (oils, linens,etc.)
- Order office supplies (i.e. toilet paper, paper towel, file folder etc.)
- Water plants
- Take out recycling
- Make copies for intake and other handouts as necessary
- Run errands (bank, buying certain supplies).
- Communicate with by-hour renters for updates
- Assist with communicating with landlord and other tenets if there are
building issues, etc.
Herb and Retail duties

- Assist the practitioners that order herbs
- Assist with herb inventory
- Open herbs and check in
- Call special order clients
Advertising and promotions

- Daily posts on Facebook and some website work
- Ask practitioner if they would like schedule/availability posted on
Facebook.
